Privacy policy
Baytrans Shop Operations · Last updated October 30, 2026
Baytrans Shop Operations is a private, invitation-only workspace used by Baytrans Inc. and its staff to manage vehicle service, parts, purchasing, fleet records and invoices. It is not open to the public. This policy explains what the application stores and how it uses Google account access.
Information we store
- Shop business records entered by Baytrans: customers, vehicles, services, estimates, parts and inventory, purchase orders, invoices and payments.
- Staff accounts created by the shop owner: name, email address, assigned permissions and a protected password verifier (never the password itself).
- Files attached to shop records and copies of invoice PDFs sent by email.
- Security and history records, such as sign-in attempts, who changed a record and when, and email delivery results.
Google account access
The shop owner may connect the Baytrans Gmail account so invoices can be emailed from the application. When connected, the application requests only:
- Send email on your behalf (
gmail.send): used only to send an invoice or a connection test that the owner reviews and sends explicitly. - View your email address (
userinfo.email): used to confirm the connected account is the Baytrans sender.
The application cannot read, search, delete or change messages in your mailbox. Google authorization tokens are stored encrypted, are never shown in the browser, and can be removed at any time by disconnecting Gmail in the application or from your Google account permissions.
Baytrans Shop Operations’ use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is not sold, not used for advertising, not used to train AI models, and not shared except as needed to send the email the owner requested.
How information is used
Information is used only to operate the shop: scheduling and recording work, tracking parts, preparing and sending invoices, and keeping an accurate history. Staff see only the records and fields their permissions allow.
Storage, security and backups
Records are stored with the application’s hosting provider. Access requires a signed-in account. Encrypted backups exclude passwords, sign-in sessions and Google tokens. Business records are retained while needed for shop operations, accounting and legal obligations.
Sharing
We do not sell information. Information is shared only with the service providers needed to run the application (hosting and, when the owner sends an invoice, Google’s email service), or when required by law.
Your choices
Customers and staff can ask to review or correct information held about them. The shop owner can disconnect Gmail at any time.
